How Automations Work

Automations let you do something with your leads the moment they’re captured. Instead of checking your dashboard and manually exporting contacts, automations send your lead data exactly where it needs to go - instantly and automatically.


Where to Find Automations

  1. Log in to your Viewers dashboard
  2. Click Automations in the main navigation

Here you’ll see all available automations. Click any automation to configure it.


What Automations Do

At their core, automations take the leads Viewers captures and send them somewhere else:

  • CRMs - Create new leads or contacts in your sales system
  • Email platforms - Add subscribers to your marketing lists
  • Ad platforms - Fire conversion events for campaign optimization
  • Notification tools - Alert you or your team when leads come in
  • Spreadsheets and databases - Log leads for tracking and analysis
  • Custom systems - Send data anywhere via API

You configure an automation once, and it runs automatically every time a qualifying lead is captured.


Module Selection

Every automation lets you choose which lead types should trigger it. Viewers captures leads through different modules:

You can select all modules, or just specific ones. This lets you create targeted automations for different purposes.

Example:

  • Send Chat and Contact leads to your CRM (high-intent, sales-ready)
  • Send Signup leads to your email marketing platform (nurture)
  • Fire ad conversions for all lead types (maximize optimization data)

Being selective about which modules trigger which automations keeps your data clean and your workflows focused.


Sync Types

Most automations let you choose which leads qualify based on data quality:

All Valid Emails Triggers for every lead with a verified email address. Use this when you want maximum volume and don’t need company data.

Enriched Leads Only Only triggers for leads that have company/contact enrichment data (company name, phone, website, etc.). This filters out personal email addresses (Gmail, Yahoo, etc.) and leads without business information.

Choose based on your use case:

  • B2C or broad marketing? All Valid Emails gives you everyone
  • B2B or sales-focused? Enriched Leads Only gives you qualified business contacts

Note: Enriched Leads Only requires a PRO plan since enrichment is a PRO feature.


Instant vs. Delayed

Most automations fire instantly when a lead is captured. Some, like Email Message automations, let you set a delay - sending hours or even days after capture.

Delays are useful for:

  • Follow-up sequences (send a second email 24 hours later)
  • More human-feeling responses (a 1-hour delay feels less automated)
  • Giving yourself time to respond before automated outreach fires

Building Workflows

You’re not limited to one automation. Use multiple automations together to build complete workflows:

Example workflow for a Chat lead:

  1. Create contact in your CRM (instant)
  2. Send Slack notification to your sales channel (instant)
  3. Fire Google Ads conversion (instant)
  4. Send thank-you email to the lead (instant)
  5. Send follow-up email if no response (24-hour delay)

Each automation runs independently based on its own configuration.


The Flexibility of APIs and Zapier/Make

We offer direct integrations with popular platforms, but you’re not limited to what’s listed.

Webhook API Your Viewers account includes a JSON API endpoint that returns your lead data. Any system that can make HTTP requests can pull your leads - custom apps, internal tools, scripts, whatever you need.

Zapier and Make.com These platforms connect to thousands of apps. If we don’t have a direct integration with something you use, Zapier or Make.com probably does. Pull your lead data from Viewers, then send it anywhere:

  • Niche CRMs we don’t directly support
  • Project management tools (Asana, Trello, Notion)
  • Databases (Airtable, Google Sheets, your own SQL database)
  • Communication tools (Discord, Microsoft Teams, WhatsApp)
  • SMS platforms (Twilio, SimpleTexting)
  • Calendar tools (Calendly, Cal.com)
  • Literally thousands of other apps

If you can imagine a workflow, you can probably build it with Zapier or Make.com using your Viewers data.

Best Practices

Start simple Don’t configure 10 automations on day one. Start with one or two essential ones (like CRM sync and notifications), make sure they work, then expand.

Be selective with modules Not every lead type needs to go everywhere. Match automations to intent - sales-ready leads to your CRM, newsletter signups to your email platform.

Use Enriched Leads Only for B2B If you’re focused on business leads, filtering to enriched-only keeps your downstream systems clean and your team focused on qualified prospects.

Test before you trust Submit a test lead and verify it flows through your automations correctly. Check that data appears where expected and notifications arrive.

Monitor your automations Occasionally check that automations are still working - API keys expire, accounts get disconnected, things change. A quick check prevents missed leads.
